Privacy Policy
Summary
Your documents are yours. We use them only to run DocuFinds for you, we never sell them, we never share them with other customers, and we do not use them to train AI models. You can delete your account and its data at any time.
Who we are
This policy explains how DocuFinds (“DocuFinds”, “we”) handles information when you use docufinds.com and the DocuFinds app. Contact: [email protected].
What we collect
- Account information: your email address and sign-in details.
- Your content: documents and files you upload, the text DocuFinds reads from them (including text recognized from scans and transcripts of recordings), search indexes, chats and questions, drafts, tables, tasks, folders, notes and settings.
- Billing information: your subscription status and billing history. Card details are collected and stored by Stripe; we never see or store your full card number.
- Usage information: which features you use and when (for example, uploads, questions asked and pages viewed in the app), the amount of AI processing each account uses, and basic technical data such as browser type and IP address in server logs.
- Feedback: ratings (👍/👎), the reasons and comments you send, and the short piece of the answer or review you rated.
- Communications: messages you send us and, if enabled, deadline reminder emails we send you.
How we use it
- To provide the Service: store your work, read and index your documents, answer your questions and run the features you choose.
- To keep your work in sync across your devices and to send deadline reminders you have switched on.
- To bill your subscription and manage your account.
- To secure the Service, prevent abuse and enforce fair-use limits.
- To support you and to improve DocuFinds, using usage information and feedback. Your documents are not used to train AI models.
Service providers we use
We share information only with providers that help us run DocuFinds, under contracts that limit their use of it to providing their service to us:
- Hosting and network: Cloudflare (website, app and server functions).
- Database, file storage and sign-in: Supabase.
- AI processing: a third-party AI model provider processes the passages and questions needed to produce each answer. Under our agreement it does not use this data to train its models; it may keep request data for a limited period for safety and abuse monitoring, as set out in its terms.
- Payments: Stripe.
- Email delivery: our email provider, for sign-in links and reminder emails.
A current list of providers is available on request at [email protected]. We do not sell personal information or share it for advertising.
We may disclose information if required by law, to protect the rights and safety of users or the public, or as part of a merger or sale of the business (in which case this policy continues to apply).
Who can see your documents
Your documents, chats and workspace are private to your account. Access is enforced by row-level security in our database. DocuFinds staff do not browse your documents; we access account data only when needed to provide support you ask for, to investigate abuse or security issues, or when required by law. Feedback you send (including the short excerpt you rated) is reviewed by the DocuFinds team.
Retention and deletion
We keep your content while your account is active. When you delete your account (Account → Delete account), your files, search indexes, chats, settings and feedback are deleted from our systems; copies in backups are removed as those backups expire. Billing records are kept as required for tax and accounting. You can export your workspace at any time from Settings → Workspace & backups.
Security
Data is encrypted in transit (HTTPS). Access to each account’s data is restricted by our database’s security rules, and server credentials are kept out of the app. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as required by law.
Cookies and browser storage
The app stores your sign-in session and a working copy of your workspace in your browser’s storage so it works quickly and offline. We do not use advertising or cross-site tracking cookies. The website loads fonts from Google Fonts, which receives your IP address when fonts load.
Your choices and rights
You can view and update your information in the app, export your workspace, switch off reminder emails, and delete your account. Depending on where you live, you may have additional rights to access, correct, delete or receive a copy of your personal information, or to object to certain processing. To make a request, contact [email protected]. We will not discriminate against you for exercising your rights.
International users
DocuFinds is operated from the United States, and our providers may process data in the United States and other countries. By using the Service you understand your information will be processed there.
Children
DocuFinds is for professional use and is not intended for anyone under 18.
Changes
We may update this policy. If changes are material we will notify you by email or in the app before they take effect.
