How is DocuFinds different from ChatGPT or Claude?
General AI assistants are great all-rounders. Project documents need a library, citations, exact math and workflows.
Start with what general AI does well
ChatGPT, Claude and Copilot are genuinely useful on a construction project. They rewrite a tense email, explain an unfamiliar clause, draft a meeting agenda or summarize a short PDF in seconds. If you use them for that, keep doing it.
The trouble starts when the question is about your project, not about the world in general. "Can we charge for the extra blocking?" depends on the subcontract, two spec sections, an addendum and an RFI response from March. That is a different kind of question, and it needs a different kind of tool.
Where a general assistant runs out of road
- It sees what you paste or attach in that conversation. A real job has hundreds or thousands of files, and the answer is often in the one you didn't think to upload.
- It doesn't know which revision is current. If you attach Rev 2 and Rev 4 of a spec, nothing stops it quoting the old one.
- It can sound certain without showing where the answer came from. On a project, an answer you can't point to on a page can't go in an RFI, a letter or a claim.
- Language models are not calculators. Adding up a change order or re-checking a pay application by "reading" the numbers is how small errors slip through.
- Every conversation starts from zero. You rewrite the same prompts and checklists each time you review a change order or a submittal.
What DocuFinds does differently
DocuFinds is built for one job: answering from your project documents. You upload the whole project once: contracts, specs, drawings, P6 schedules, change orders, submittals, cost reports, emails and photos, as files or a single .zip. It reads scanned pages, drawing title blocks, markups saved in PDFs (including Bluebeam's), spreadsheets and schedule data, and it groups revisions so answers come from the newest version.
Every answer has numbered citations. Click one and the source page opens with the passage highlighted, and quotes that can't be found in the source are flagged. When the documents don't contain the answer, DocuFinds says so instead of filling the gap.
Where numbers matter, the AI only reads them; DocuFinds does the arithmetic in code. That is how change-order benchmark checks, pay-application checks, cost-report questions and P6 schedule comparisons stay exact.
And the recurring work is already set up as workflows: change-order reviews with a drafted pushback letter, version comparison, submittal logs and compliance checks, contract playbooks, deadline tracking with reminder emails, and a Tasks board for action items.
When to use which
- Use a general assistant for writing help, brainstorming and general questions that don't depend on your project files.
- Use DocuFinds when the answer has to come from your documents, has to be the current revision, and has to hold up when someone asks "where does it say that?"
What about privacy?
Your DocuFinds documents are private to your account, are never shared with other customers, and are not used to train AI models. If you use a general assistant for work files, check your plan's data settings and your company's policy first.
Frequently asked questions
Is DocuFinds just ChatGPT or Claude with a different look?
No. DocuFinds is a document workspace built around your project library: it reads construction file types, keeps revisions straight, cites every answer to the page, checks its quotes against the source and does calculations in code. General assistants are built to answer anything; DocuFinds is built to answer from your documents.
Can't I just attach my contract to a general AI chat?
For a quick question about one file, often yes. Project questions usually depend on several documents and the current revision, and the answer has to be traceable to a page. DocuFinds keeps the whole project indexed and cites every statement.
Does DocuFinds make things up?
It answers only from your documents, cites the page for each statement and flags quotes it cannot find in the source. When the answer is not in the documents, it says so. Important answers should still be checked against the cited page.
Why does it matter that DocuFinds does the math in code?
Language models can misread or mis-add numbers. In change-order checks, pay-app checks, cost-report questions and schedule comparisons, the AI only copies the figures and DocuFinds performs every calculation itself, so the result is exact.
Can DocuFinds read files a general assistant struggles with?
It reads Primavera P6 .xer files, Excel cost reports, scanned PDFs, drawing sheets, AutoCAD DWG/DXF, Outlook emails, markups saved in PDFs from Bluebeam and similar editors (not flattened ones), audio recordings and whole .zip packages.
Are my documents used to train AI?
No. Your documents and questions are used only to answer your questions. They are private to your account and never shared with other customers.
