Frequently asked questions
Answers about document control on construction projects and how DocuFinds helps.
About DocuFinds
What is DocuFinds?
DocuFinds is an AI document assistant for construction project teams. It reads contracts, specifications, drawings, schedules, change orders, submittals and pay applications, and answers questions in plain language with a citation to the exact page.
Who is DocuFinds for?
Project managers, project engineers, document controllers, estimators, superintendents and owner's representatives who need answers from large sets of project documents.
What file types does DocuFinds read?
PDFs (including scanned pages), Word, Excel, CSV, Outlook emails (.msg and .eml), images and Primavera P6 schedules (.xer).
How much does DocuFinds cost?
DocuFinds Pro is $99 per month, with a 14-day free trial. A card is required to start the trial; cancel before it ends and you pay nothing.
Is my data private?
Your documents and history are private to your account and are not used to train AI models.
What happens when I rate an answer or review?
Ratings, the reasons you pick and anything you type in the feedback box go to the DocuFinds team, with the short piece of the review or answer you rated, so we can improve DocuFinds. Your documents are never shared with other customers, and corrections you ask DocuFinds to remember only change your own reviews.
How is DocuFinds different from a general AI chatbot?
It keeps your whole project library searchable, cites the source page for every answer, uses the latest revision by default, and includes construction workflows: change order checks against benchmarks, a COR pushback drafter, submittal logs and reviews, contract deadline tracking and P6 schedule comparisons.
How to stop building from the wrong drawing or spec revision
How do I know which drawing revision is current?
Keep every revision in one project library with a revision marker or date in the name, and check the latest bulletin or transmittal log. DocuFinds groups versions of the same document automatically and answers from the newest one, telling you which version it used.
How can I see what changed between two revisions of a spec?
Compare them passage by passage instead of reading both in full. DocuFinds' Compare versions skill lists every changed, added and removed passage with word-level highlights and a cited summary of the main changes.
Does DocuFinds delete old revisions?
No. Older versions stay in the library. DocuFinds simply prefers the newest version when answering, and you can ask about an older one by naming it.
Can it compare drawings?
It compares the text DocuFinds reads from documents, including text recognized on scanned pages. It does not overlay drawing graphics pixel by pixel.
How to find a clause in a 2,000-page spec book in seconds
How do I search a PDF spec book for a requirement?
Search for the meaning of the requirement rather than one exact word, check Division 01 and related sections, and record the section and page. DocuFinds does this in one step: ask the question in plain language and get an answer citing the exact page.
Can it read scanned specifications?
Yes. Scanned pages are read with text recognition when they are uploaded, so their contents become searchable and citable.
Does it work on a whole project, not just one file?
Yes. You can ask across one document, a selection of documents, a whole project or all your projects.
How do I prove where an answer came from?
Every DocuFinds answer has numbered citations. Clicking one opens the source page with the passage highlighted, ready to quote.
How to review a change order request: a practical checklist
What should I check first in a change order request?
Start with the math and the markups: recompute every line and total, then confirm each percentage is within the contract limits and applied to the right base. These catch the most common errors quickly.
Can a contractor charge markup on sales tax?
It depends on the contract. Many contracts apply markup to cost only. DocuFinds shows whether a fee was calculated on the cost alone or on the cost plus tax, so you can check it against your terms.
How do I know if a labor rate is reasonable?
Compare it with your approved rates, past approved change orders, and published wage data for the trade and state plus a reasonable labor burden. DocuFinds does these comparisons and cites the source for each.
Can DocuFinds write the response to the contractor?
Yes. The COR pushback skill drafts a letter from the issues you select, citing the change order and your reference documents. You review and edit it before sending.
Does it replace an estimator?
No. It does the arithmetic and the cross-checking quickly and shows its evidence; the judgment on what to accept stays with you.
How to build a submittal log from the spec book without retyping it
How do I create a submittal log from specifications?
Read Part 1 of every section for submittal, quality assurance and closeout requirements and record each item with its section and page. DocuFinds automates this with its Submittal log template, citing the page for every row.
Can I export the submittal log to Excel?
Yes. DocuFinds tables download to Excel with a sources sheet.
Can DocuFinds check a submittal against the spec?
Yes. It marks each requirement as complies, deviation or not shown, citing both the specification and the submittal, and can draft the review comments.
What about closeout requirements like warranties and O&M manuals?
They are part of the specification requirements DocuFinds reads, so they can be captured in the log like any other submittal.
Contract notice deadlines: how to track them so claims aren't waived
How do I track notice deadlines in a construction contract?
List every time limit with its clause, triggering event and day type (calendar or business), record the event date when it happens, and calendar the due date with reminders. DocuFinds finds the clauses and calculates the due dates for you.
Do business days and calendar days make a difference?
Yes, often several days. DocuFinds counts the way the clause states, including U.S. federal holidays for business days.
What happens if notice is late?
Under many contracts a late notice can waive the claim. Always check your contract's specific wording with your project lead or counsel.
Can I get reminders by email?
Yes. Signed-in DocuFinds users can get reminder emails a week before, the day before and on the day a deadline is due.
Comparing P6 schedule updates: what changed on the critical path?
How do I compare two P6 schedules?
Compare the data date and finish, the critical path membership, activity finish dates, total float, original durations, and the activity and relationship lists. DocuFinds' Compare versions skill computes all of these from two or three .xer files.
How does DocuFinds decide what is critical?
An activity counts as critical when it is not complete and its total float is zero or less, or when P6 marks it on the driving path.
Does it need Primavera installed?
No. It reads the .xer export directly.
Can it explain the changes in plain language?
Yes. It can write a short narrative of the main changes, using only the numbers it computed from the schedules.
How to check a pay application against the schedule of values
What should I check on a G702/G703 pay application?
Line math on the G703, totals tying to the G702, retainage at the contract rate, previous amounts matching last month's approval, and change orders matching approved ones only.
Does DocuFinds use AI to do the math?
No. The AI only reads the numbers from the page; DocuFinds performs every calculation itself and flags any number it cannot find in the document.
Can it check lien waivers too?
Yes. DocuFinds reads conditional and unconditional waivers, including the amount, parties and dates.
Can you trust AI answers on construction documents?
Is it safe to use AI on construction contracts?
Use a tool that cites the exact page for every answer, verifies its quotes and keeps your documents private. Always check important answers against the cited source.
How does DocuFinds prevent made-up answers?
Answers are built from passages found in your documents and cite them; quotes that can't be found in the source are flagged, and calculations are done in code rather than by the AI.
Are my documents used to train AI?
No. Documents and questions are used to answer your questions and are not used to train AI models.
What is the difference between DocuFinds and a general AI chat app?
DocuFinds keeps your whole project library indexed, cites the source page for every answer, and adds construction workflows such as change order checks, submittal reviews, deadline tracking and schedule comparisons.
