How to stop building from the wrong drawing or spec revision
Superseded drawings and specs cause rework. Here is how to keep every answer on the current revision.
The problem
On most projects the same document exists in several versions at once: the bid set, IFC drawings, bulletins, addenda, revised specs and a few marked-up copies on someone's desktop. When a foreman, estimator or engineer pulls a sheet or a spec section, nothing guarantees it is the current one.
The cost shows up late. Work gets installed to a superseded detail, a change order is priced against the wrong quantities, or an RFI is answered from last month's revision. By the time anyone notices, the fix is rework.
Why it keeps happening
- Files are named inconsistently ("Rev 2", "R2", "2026-08-12", "FINAL", "(1)"), so the newest one is not obvious.
- Revisions arrive through different channels: the document control system, email, bulletins, shared drives.
- Searching a folder returns every version, and the old one is often the first hit.
- Nobody has time to read two 300-page versions side by side to see what actually changed.
A practical process that works
- Keep one project library per job and upload every revision to it, not just the latest.
- Use a consistent naming pattern with a revision marker or date.
- When a new revision arrives, review what changed before it is distributed: scope, quantities, performance requirements, dates.
- Make sure search and questions default to the latest version, and only use older versions on purpose.
How DocuFinds handles it
DocuFinds groups files that are versions of the same document (by name, revision markers and dates) and answers questions from the newest one. When it skips older versions, it says so in the answer, so you know which revision was used. You can still ask about an older version by naming it.
The Compare versions skill shows exactly what changed between two or three revisions: every changed, added and removed passage with word-level highlights, plus a short summary that cites each change. For Primavera P6 schedules it compares the critical path and the finish date instead.
Frequently asked questions
How do I know which drawing revision is current?
Keep every revision in one project library with a revision marker or date in the name, and check the latest bulletin or transmittal log. DocuFinds groups versions of the same document automatically and answers from the newest one, telling you which version it used.
How can I see what changed between two revisions of a spec?
Compare them passage by passage instead of reading both in full. DocuFinds' Compare versions skill lists every changed, added and removed passage with word-level highlights and a cited summary of the main changes.
Does DocuFinds delete old revisions?
No. Older versions stay in the library. DocuFinds simply prefers the newest version when answering, and you can ask about an older one by naming it.
Can it compare drawings?
It compares the text DocuFinds reads from documents, including text recognized on scanned pages. It does not overlay drawing graphics pixel by pixel.
